POSITION
At Codeway, operational excellence is one of the key pillars of our long-term success. We're looking for a Budget & Workplace Operations Manager to take full ownership of critical functions such as budget planning, procurement, cost control, and office operations. In this strategic role, you’ll be responsible for keeping our fast-growing organization lean, structured, and efficient. From designing systems that streamline our day-to-day operations to maintaining financial discipline, from enhancing office infrastructure to ensuring that remote teams have everything they need to thrive — your work will directly shape how we operate at scale. WHAT YOU’LL BE DOING?
Budget & Cost Management
Plan, monitor, and report the operational budget, covering office, kitchen, logistics, IT, brand, and administrative expenses. Analyze budget variances and provide insights for ongoing cost optimization. Collaborate with Finance and Admin Affairs to implement sustainable budgeting practices.
Procurement & Vendor Management
Manage company-wide procurement strategies with a cost-effective and scalable approach. Conduct market research to gain competitive advantage and oversee vendor diversity and contract processes. Track and coordinate payments for office rent, utilities, and third-party services.
Workplace & Facility Operations
Ensure the smooth operation of the workplace, including space planning, cleaning, security, infrastructure, and catering services. Manage office relocations, business travel arrangements, fleet operations, and physical infrastructure such as internet networks, server rooms, and security systems.
Remote Work & Logistics Support
Coordinate onboarding logistics for remote team members, including equipment delivery and setup. Oversee inventory tracking and manage asset recovery during offboarding processes.
Equipment & Inventory Management
Manage stock levels and inventory systems for hardware, office equipment, and consumables. Collaborate with IT to handle license provisioning, VPN access, and software setup.
Compliance & Legal Administration
Ensure compliance with Occupational Health & Safety regulations. Manage legal and operational processes in collaboration with building management and public authorities. Support HR in SGK registrations/deregistrations and labor-related administrative workflows.
Employee Experience & HR Collaboration
Support employee needs such as access cards, meals, and transportation. Contribute to hybrid work policy development and collaborate with the People & Culture team on onboarding, internal events, and team gatherings.
Reporting & Data-Driven Insights
Prepare regular reports on operational performance and spending. Conduct cost analyses to uncover efficiency and savings opportunities, and support data-driven decision-making through reporting tools.
WHAT YOU’LL BRING?
· 5+ years of experience in budget management, procurement, or office operations within a dynamic organization.
· Solid background in supplier negotiations, contract handling, and strategic purchasing.
· Strong understanding of facility operations, remote work logistics, and inventory tracking systems.
· Proven problem-solving skills, with the ability to operate analytically in a fast-paced environment.
· Hands-on proficiency in Excel and financial reporting systems.
· A proactive, collaborative, and ownership-driven mindset.
· Clear and confident communication skills with fluency in English (written & verbal is a plus).
· High integrity, strong ethical standards, and trust-building communication.
· Familiarity with workplace compliance standards such as health & safety regulations, data security, and labor-related administrative procedures.
· A passion for creating a smooth and people-centric workplace experience — whether on-site or remote.
· Based in Istanbul and available to work on-site at our HQ with flexibility when needed.
